This Data Processing Agreement forms part of the AnglerTally Terms of Service.
It applies where AnglerTally processes personal data on behalf of a club.
1. Parties
This agreement is between:
The Customer / Club: the club or organisation using AnglerTally
and
The Processor: Angler Tally, operator of AnglerTally.
2. Roles
For club-managed angler and match data:
- The club is usually the controller.
- AnglerTally is usually the processor.
For AnglerTally account, billing, security and platform administration data, AnglerTally may act as controller.
3. Subject matter
The processing relates to providing AnglerTally, including:
- Club setup
- Angler records
- Match setup
- Season match calendars
- Peg assignments
- Random/manual peg draws
- Section assignments
- Weight entry
- Result calculation
- League tables
- Public result pages
- PWA/offline match-day drafts
- Support
- Security
- Billing
4. Duration
Processing continues for as long as the club uses AnglerTally and for any retention period needed for backup, legal, accounting, dispute or security purposes.
5. Types of personal data
The personal data may include:
- Names
- Email addresses
- Phone numbers
- Club role
- Match attendance
- Match results
- Peg numbers
- Section assignments
- Match notes
- Account identifiers
- Technical logs
- Locally stored draft match data
6. Categories of data subjects
The data subjects may include:
- Club admins
- Anglers
- Club members
- Match officials
- Support contacts
7. Processor obligations
AnglerTally will:
- Process club personal data only to provide the service or as instructed by the club
- Use appropriate technical and organisational security measures
- Ensure authorised personnel are subject to confidentiality obligations
- Assist the club with data subject requests where reasonably possible
- Assist with security, breach and compliance obligations where reasonably possible
- Delete or return personal data at the end of the service where appropriate
- Make available information reasonably necessary to demonstrate compliance
- Notify the club of personal data breaches where required
8. Club obligations
The club will:
- Ensure it has a lawful basis for adding personal data
- Provide any necessary privacy information to anglers or members
- Keep data accurate and up to date
- Avoid adding unnecessary sensitive data
- Manage public result settings responsibly
- Ensure account users are authorised
- Tell AnglerTally promptly about any data concerns
- Clear local drafts from shared devices where appropriate
9. Sub-processors
AnglerTally currently uses a small number of service providers to operate the app. These may include website/database hosting, email hosting, Stripe for payments and subscriptions, domain/DNS services, and backup services. We do not currently use a dedicated analytics provider or dedicated error monitoring provider. If this changes, this policy will be updated.
AnglerTally will ensure appropriate contractual protections are in place with sub-processors.
10. International transfers
If personal data is transferred outside the UK, AnglerTally will use appropriate safeguards where required.
11. Security measures
Security measures may include:
- HTTPS encryption
- Password hashing
- Access control
- Role-based permissions
- Club-level data separation
- Server monitoring
- Backups
- Restricted admin access
- Secure payment handling via Stripe
- Published match locking
- Offline draft sync protections
12. Personal data breach
If AnglerTally becomes aware of a personal data breach affecting club data, we will notify the club without undue delay where required.
The club remains responsible for deciding whether it needs to notify individuals or regulators, unless AnglerTally is legally required to do so.
13. Deletion and return
On termination, AnglerTally may delete or return personal data, subject to:
- Legal obligations
- Backup retention
- Accounting requirements
- Dispute resolution
- Security logs
Local offline drafts stored on a user’s device are controlled by that device/browser and may need to be cleared by the user.
14. Audits and information
AnglerTally will provide reasonable information to help demonstrate compliance.
Audits must be reasonable, proportionate, and not compromise security or other customers’ data.
